Work your Tasks list

Use the prioritised Tasks list to always know the next best action for a location.

Tasks is the single, prioritised place to see the next best thing to do for every location, so you never have to hunt across tools to find what needs attention.

Where tasks come from

Tasks pulls work from across SearchOps and lines it up in one list. Most of it is created for you when a tool finishes running:

  • Listings: gaps and fixes spotted when a location's citations are audited.
  • Google profile: issues raised by a Google Business Profile audit.
  • Website: technical problems found by a website audit, grouped by issue rather than by page.
  • Content: topics you have not covered, and pages sitting just short of page one.
  • Reviews: complaints that keep coming up, which is a different job from replying.
  • ChatGPT: keywords the assistants do not name you for.
  • Competitors: a rival moving above you across several searches.
  • Backlinks: sites that mention you without linking.
  • Search Console: pages worth reviewing based on what people actually search.

One task can stand for many findings. "Missing meta description (37 pages)" is one job and one card, not thirty-seven rows. Open the card to see a sample of what it covers, and the button takes you to the tool holding the full list.

You can also add your own tasks with New task, for the work no tool can see: a call to the client, a photo shoot, chasing a supplier.

The views

  • List groups everything by location, urgency or type. Best for working a backlog down.
  • Board puts each task in a column: To do, Doing, or Blocked. Drag a card between columns, or open it and pick. You can type straight into the To do column to add something.
  • Calendar shows what is due and when, and flags anything overdue.
  • Inbox shows things the platform has spotted that are true right now, such as a rank drop or an unanswered review. They are not tasks yet, and most clear themselves once the situation changes. Select Add on one to turn it into a task somebody owns.
  • Review is what you finished, by month and by tool, ready for a client conversation.
  • Plays is where the guided playbooks live. Start one and its steps land on your board straight away.

Click any task to open it. That is where the full detail lives: what a rolled-up card covers, the owner, the due date, your own notes, and for a playbook step, why it matters and what usually goes wrong.

Plays

A play is an ordered set of tasks that checks itself against your data, for a job with a right order: recovering a suspended profile, launching a new site, building review volume.

Starting one loads its steps onto your board. Steps that cannot start yet sit in Blocked until the ones they depend on are done, and the step you should do next is marked high priority.

Some steps tick themselves. If a step is "run a baseline scan" and the platform can see the scan, it marks itself done and says so. Ticking a play's step on your board also ticks it in the play, so the two never disagree.

Statuses and the sidebar badge

You will find Tasks at the top of the sidebar, with a count badge showing how many are waiting. Every task sits in one of these states:

  • Open: live and ready to action.
  • Snoozed: hidden for now and due to return on a set date.
  • Done: ticked off, or resolved automatically once the underlying issue clears.
  • Dismissed: set aside as not relevant.

Use the Status filters to switch between them, and the Source filters to focus on one type of work at a time.

Action, snooze or dismiss

  • Tick the circle to mark a task done. Tick it again to reopen it.
  • Select Snooze to clear it from your view and bring it back in a week.
  • Select Dismiss for something you do not plan to act on. Tasks you added yourself can be deleted outright instead.
  • Use the action button to jump straight to the tool that does the work.

Note: When the underlying issue is fixed, tasks can resolve on their own and move to Done, so the list stays accurate without extra tidying. That is why a task created by a tool is dismissed rather than deleted: dismissing it is remembered, and the next audit will not raise it again.

Stay focused, not scattered

Because every suggestion lands in one ranked list, you can work top to bottom and trust that you are tackling the most important things first. The count badge keeps the outstanding total in view from anywhere, and clearing tasks keeps it honest.
